Quantumard ("we", "our", "us") respects your privacy and is committed to protecting the personal data you share with us while participating in the Quantumard National Hackathon 2026 (the "Event").   • Contact & identity data: name, email address, mobile/WhatsApp number, college, city/state.
  • Team & submission data: team name, role, project title, idea summary, uploaded files (e.g., PPT, PDF, prototype links).
  • Payment data: transaction IDs and payment confirmations (processed by a secure third-party gateway). We do not store card details.
  • Usage & technical data: IP address, browser user agent, device type, form submission timestamps.
  • Optional data: profile links, GitHub URLs, and other voluntary information provided by participants.

2. How We Use Your Information

We use collected information for the following purposes:

  • To register participants and manage Event logistics (communication, shortlisting, scheduling).
  • To process payments and issue confirmations and receipts.
  • To generate certificates and verify participant identity.
  • To share submission details with judges for evaluation.
  • To send Event updates, announcements, and important notices by email or WhatsApp.
  • For promotional or educational purposes: we may publish non-sensitive project titles, screenshots, or short descriptions unless participants explicitly request confidentiality.

3. Legal Basis & Consent

By registering for the Event you consent to the processing of your personal data for the purposes described above. We process personal data on the basis of your consent and/or to perform activities related to the Event as described in these policies.

4. How We Store & Protect Data

  • We store participant data on secure platforms (e.g., Google Workspace, secure forms, and trusted cloud storage providers).
  • Access to participant data is limited to authorized Quantumard team members and trusted service providers who require the information to provide services for the Event.
  • We implement appropriate technical and organizational security measures to protect data against unauthorized access, alteration, disclosure, or destruction.

5. Sharing & Disclosure

We will not sell or rent your personal data. We may share limited participant data with:

  • Judges and evaluators for the purpose of evaluating submissions.
  • Service providers engaged to host the Event (e.g., email services, certificate generators, cloud hosting, payment processors).
  • Our promotional partners only with your explicit consent.

6. Payment Processing

All payments for paid rounds are processed via third-party gateways (e.g., Razorpay). Quantumard does not store credit/debit card details. Payment processors are subject to their own privacy and security policies.

You have the right to:

  • Request access to the personal data we hold about you;
  • Request rectification of inaccurate or incomplete data;
  • Request deletion of your personal data after the Event concludes (subject to legal or operational constraints);

8. Use of Images, Videos & Publicity

By participating you agree that Quantumard may use your name, team name, project title and non-sensitive photos or screenshots for non-commercial promotional purposes (website, social media, newsletters) unless you specify otherwise in writing prior to submission.

Our website may use cookies and analytics tools to understand usage patterns. You may disable cookies in your browser but this may limit site functionality.

10. Data Retention

We retain participant data only for as long as necessary for Event administration and legal compliance. After the Event, records required for legal or accounting purposes may be retained longer in secure storage.

11. Children & Minors

The Event is intended primarily for college students (18+). We do not knowingly collect information from children under applicable legal ages without parental consent.

12. Changes to this Policy

We may update this Privacy Policy from time to time. Updates will be posted on the Event website with the revised effective date.
